ESI stands for Employees’ State Insurance Corporation. It is a self financing social security and health insurance scheme for Indian workers. ESIC is managed by employee state insurance corporation. ESIC registration for an employee is advisable for a employee working in an organization in which employee strength is greater than 10 (in some state eligibility for ESIC registartion is 20 employees). ESIC registration for an employee entails many benefits which includes –

ESIC Registration eligibility

Every company in which there are are more than 10 employees need to apply for ESIC registration. In some states like Maharashtra and Chandigarh minimum number of employee for ESI registration is 10 employees. If company is fulfilling above criteria then it should register itself with ESI so that ESIC benefits mentioned above can be provided to insured employees under ESI act.

Moreover, if maximum salary of an employee is lower than 15000, then organization need to register itself with ESIC portal. ESI contribution rate are the contributions that are defined in the act for both employer as well employee. ESI contribution rate changes from time to time and employee should check ESIC official website for latest updates on ESI rate. As per latest update, ESI employer contribution has been fixed at 4% of employee salary and ESI employee contribution is 1% of salary. There is no need to pay employee contribution by an employee if wage per day is less than Rs 100 per day.

Kindly visit ESIC portal on www.nsic.in. Click on the login to ESIC and on sign in portal click on “Sign up” tab

Fill details for Sign up page on ESIC portal

Following details need to be completed on Sign up page-

  • Company name
  • Principal employer name
  • State
  • Region
  • Phone number
  • Email

Kindly click on the check box accepting its term and conditions. Click on “Submit” button. Email id is required to receive username and password for logging in to ESIC employer portal.

Login in with the Username and password on ESIC site

You would receive your official username and password to login to the official ESIC site. Kindly enter these details on sign in page on the website to login to the portal.

Select new employer registration and unit type

After signing in to portal select “New Employer registration” and after that select type of unit

Employer registration details

Following details need to be filled by employer under Form 1 (Employer registration details)-

  1. Unit details 
  2. Employer details
  3. factory/Establishment details
  4. Employee details

Payment of initial ESIC contribution

After filling all required details on ESIC portal. It is time to pay ESIC contribution. Payment of initial contribution for 6 months to be done by employer at this stage. There are two methods to pay for initial ESIC employer contribution.   it can be done through ESIC online payment or ESIC challan payment. To pay through ESIC online payment, online payment section and make the payment through ESIC payment gateway. Kindly note down or save your ESIC challan number for future use.

On successful receipt of ESIC online payment, You would receive a system generated ESI Registration certificate on your registered email id. This system generated ESI registration certificate is also known as C-11. This certificate is a valid proof for ESI registration.

Employer should make sure that he or she note down ESIC employer login details at a safe place for future use. This detail would be required in future to make ESIC e payment for employer contribution on ESIC portal.

Documents required for ESIC Login/registration

ESIC loginAs per latest update, following documents are required for ESI registration-

  1. Registration certificate under Factories act or Shops and establishment act is required. This proves validity and legal existence of the enterprise for the purpose of ESIC registration on portal.
  2. Certificate of Incorporation in case of a Pvt limited company and registered partnership deed in case of a partnership firm is also required.
  3. Memorandum of association (MOA) and Article of association (AOA) for a company.
  4. List of all employees working within a organization along with details such as name, father’s name, mobile number, date of birth, date of joining, salary, postal address, grade, name of the nominee, identity proof, PAN card details and bank account details. These details are required to ascertain the eligibility for ESIC registration as per ESI act,1948.
  5. Attendance register for all the employees for latest period.
  6. PAN card of the business establishment.
  7. Copies of the licenses issued by central agencies such as GST registration certificate.
  8. A cancelled cheque of the company’s current account with a bank. This cheque would contain details like bank account number and IFSC code of the company.
  9. ESIC act also mandates companies to provide list of directors (LOD) and list of shareholders(LOS).
  10. Address proof of a proprietor, partner and directors is also required to uploaded on the ESIC portal as the case may be.
  11. Mobile number and email ID of the proprietor, partner and director as the case may be is also required to be uploaded on ESIC official website.

These documents are uploaded on ESIC unified portal for further vetting by ESIC authorities. These documents establish identity and legal existence of the company as per centralized records. ESIC employer and employee should double cross check list of documents before uploading them on ESIC site.
